The Coolest Project Ever

Okay, you ready for a cool story? Well, buckle up.

Back in March, Madewell's corporate marketing group called our sales team on a Monday. Their team had a request they themsleves considered a moonshot: 20 coffee carts in 20 cities, ready to activate—ON SATURDAY. They knew it was a tall order, but we knew orchestrating coffee catering in 20 markets in just a few days was a challenge we couldn't refuse.

Hours to Full Roster

The Nightowl response? "Give us 24 hours to get it all figured out." Madewell might have called it a moonshot—but we called it a Monday.

Now normally I would say a 24-hour response time is the professional kiss of death. But this wasn't most contexts and a little extra time was needed to run point on this massive project. I'll admit, doing hard things isn't just something we're capable of—it's embedded in our DNA. Our team is built for exactly this kind of challenge, and Madewell's ask was an opportunity to deliver true agency-level execution.

Madewell delights shoppers nationwide with free coffee and matcha.

Mission. Possible.

Our team wasted no time. Phones were ringing and prices were being negotiated with sub-contractors before the ink was even dry on the brief. This is the importance of working with a brand like Nightowl with national repsect from competitors—when we call, they answer. By mid-day Tuesday, we had a full roster of coffee caterers locked in—a nationwide web of mobile coffee and matcha operators, curated, coordinated, and ready to activate in just a few days.

Nightowl would oversee our hometown market of Dallas and satellite market of Los Angeles, while leaning on a handpicked network of elite industry partners for the remaining cities. Joining the coffee catering task force was Always Kind, Anecho Coffee, Atelier Coffee, Aviator Coffee, Canyons CoffeeCassia Coffee, Clement Coffee, Creature Coffee, Goodlife Coffee, Intentional Espresso, Loon Coffee, Roaming Spirits Coffee, Rowena Coffee, The Last Drip, Viator Coffee, and Perfect Pour.

Coffee cart operators activate 20 stores nationwide with lattes and matcha at the exact same time.

Pro Tip: Build With Energy. Execute With Precision.

While running point on this project, we intentionally leaned into younger operators. Not the most experienced—but the most excited. Because in coffee catering, espresso catering, and high-level brand activations, enthusiasm and collaboration will outperform a stacked résumé every time. The teams who are grateful, energized, and all-in on the opportunity? They elevate the entire guest experience.

As an industry leader in DFW coffee catering and mobile barista stations, that’s something I take seriously. Mentorship matters. Creating space for the next generation to rise isn’t just good culture—it’s how you build stronger, more dynamic activations. The best experiential events are powered by people who genuinely want to be there.

Perfection Is the Standard.

There’s a business lesson here worth calling out. On Thursday—just two days before event day—we made a last-minute roster change in one market. An operator we hadn’t worked with before became slow to communicate—something that simply doesn’t align with great hospitality or real ambition. Emails went quiet. Texts unanswered. Calls missed. By the time they followed up a day later, we had already moved on.

Here’s the takeaway: in this industry, responsiveness is reliability. The brands and teams who win—whether in coffee cart service, coffee catering, or large-scale experiential activations—are the ones who show up, stay sharp, and communicate like every detail matters. Because it does.

Operate at that level, and you don’t just meet expectations—you become the standard others are measured against.
